All correspondence(s) in respect of Tours / Travel Services and bookings should be addressed to M/s. Ambika Holidays.

Booking:
On confirmation of booking, your contract is with M/s Ambika Holidays. A contract exists between us when we confirm your tour/travel services and have received the deposit amount from your end.

Payment:
For the services contracted, a minimum deposit of 50% of the total cost is to be paid by you to M/s Ambika Holidays. The deposit is required to hold the booking on a confirmed basis. In case of any kind of ticketing or visa need to full amount.

Balance Payment:
Balance payment is to be made 15 days prior to the date of the start of services. Any booking made within 15 working days of the date of services would be considered a late booking, and the full and final payment is required to be made at the time of booking itself.

Note:
Apart from the above, in case of bookings for special train journeys, hotel or resort bookings during the peak season (X-Mas, New Year, Pushkar Fair, Diwali, etc.), full payment is required to be made at the time of booking itself.

Mode of Payment:
Clients can make payment using any of the following methods:
  • By Cheque / Demand Draft
  • By Bank Transfer
  • By QR Code
Note:
  • All payments should be free and clear of any withholding tax and deduction.
  • Bank charges, if any, for remittance (by the remitting bank or by intermediary bank) would be strictly borne by the payer.
  • In case of payment through QR code, if done using a credit/debit card, then the applicable bank charges are to be borne by the payer.
Special Note:
Please note that Ambika Holidays employees or agents will not ask for your Net Banking login, Password, OTP, etc. Nor will they ask you to transfer funds to a personal account or to install third-party apps like AnyDesk, TeamViewer, etc.

General Terms & Conditions

  • Kindly
    carry your Address proof with you while travelling and visiting Places
    in case of International guest passport is mandatory. In case of not
    carrying address proof or passport at the time of visiting places, you
    may not be allowed to visit. In such a case, Ambika Holidays will not be
    responsible in any manner
  • We do-not recommend any emporium or
    shop or eating joint. Any item purchased or consumed be at sole
    discretion of the bearer of the ticket/traveller/passenger
  • The management reserves the right to make amendments enroute or skip any destinations to attend any contingency
  • Please purchase entrance ticket from the monuments directly. Our fare does not include these charges
  • Conveyance
    charges from the bus alighting point to monuments and other places
    where the tourist buses or tempo traveller or cab cannot go due to the
    traffic regulation/conditions are to be borne by the tourists
  • Ambika
    Holidays will not be responsible for loss of or damage to luggage or
    personal belongings and the contents therein (including any valuables)
    during stay at hotels & during journey
  • Air-conditions of vehicle will be operated during summer season only and will not be operated in hills area
  • No
    refund will be made in case of mechanical trouble to the vehicles
    enroute or landslide or any other reason beyond the control of Ambika
    Holidays
  • As per Government directive, tourists are requested to
    provide their photo identity documents such as driving license/voter id
    card, passport at the point of the check in the hotel. We appreciate
    your cooperation
  • Reservations will be guaranteed with subject to confirmation from the guest along with advance payment
  • In
    case of amendment in Government taxes, or fuel charges Ambika Holidays
    reserves the right to adjust the tour price accordingly

  • We will not be responsible for any costs arising out of unforeseen circumstances like landslides, road blocks, bad weather, etc.

  Cancellation Policy

At Ambika Holidays, we strive to provide our customers with flexibility and clarity in the event they need to cancel or modify their travel plans. Please review our cancellation policy carefully.

1. Cancellation by the Customer:
In the event of cancellation of tour / travel services due to any
avoidable / unavoidable reason/s we must be notified of the same in
writing. Cancellation charges will be effective from the date we receive
advice in writing, and cancellation charges would be as Follows

  • Cancellations before 30 days prior to departure: 25% cancellation charges will be applicable
  • Cancellations before 15 days prior to departure: 50% cancellation charges will be applicable
  • Cancellations before 10 days prior to departure: 100% cancellation charges will be applicable
  • No refund in case of no show
  • Note:
    Written cancellation will accept on all working days, except Sunday and
    National holidays, any cancellation sent on Sunday’s or national
    holidays will be considered on next working day.
  • For the X-mas and New Year period, Diwali, Dusserhra, Long weekend the payment is non-refundable.
2. No Show:
If the customer does not show up at the scheduled time and place, the full cost of the booking will be charged, and no refund will be provided.

3. Cancellation by Ambika Holidays:
  • In the unlikely event that we must cancel a trip due to unforeseen circumstances (natural disasters, political unrest, etc.), we will:
  • Offer an alternative date or tour package of the same value, or
  • Provide a full refund of the booking amount.
4. Modifications:
  • More than 30 days before the trip: Modifications to your booking are allowed without any additional fee, subject to availability.
  • Less than 30 days before the trip: Modifications are subject to a 10% change fee and availability.
5. Force Majeure:
Ambika Holidays shall not be liable for cancellations or modifications due to circumstances beyond our control, including but not limited to natural disasters, pandemics, governmental actions, or other unforeseeable events. In such cases, any refund or rescheduling will be subject to our discretion.

6. Refund Process:
  • All refunds, when applicable, will be processed within 15 business days after confirmation.
  • Refunds will be credited back to the original method of payment.
7. Travel Insurance:
We highly recommend that customers purchase travel insurance to cover any unforeseen cancellations, delays, or other travel-related issues.

  • Visa processing fees (as visa-related services are non-refundable once submitted).

These will be clearly communicated to you during the booking process. For such services, no refund will be available even if the booking is canceled 30 days or more in advance.

3. Partial Refund for Early Departures or Unused Services
In case you choose to end your trip early or not use certain services that were part of your package (e.g., transportation, hotel nights, or excursions), no refund will be provided for the unused portion of the trip, as our partners may not offer us refunds for services not used.

4. No-Show Policy
If you fail to show up for your scheduled trip or service on the travel date without prior notice, this will be considered a no-show, and no refund will be issued. If you anticipate a delay or problem in attending the trip, please contact us immediately to discuss alternatives (rescheduling may be possible, depending on availability and third-party conditions).

5. Cancellation by Ambika Holidays
In rare instances where Ambika Holidays has to cancel a tour or service due to reasons beyond our control, including but not limited to:
  • Extreme weather conditions.
  • Political instability.
  • Safety concerns.
  • Insufficient participation for group tours.
  • Operational issues or technical difficulties with transportation.
We offer the following options:
  • Full refund of the total booking amount.
  • The option to reschedule or select an alternative tour of equal value. If you choose a tour of greater value, you will need to pay the difference in price.
Ambika Holidays will not be responsible for any additional costs incurred by customers due to cancellations, such as non-refundable flights or other bookings not made through Ambika Holidays.

6. Refund Timeline
Once a refund is approved, we will process it as quickly as possible. Please note the following refund timelines based on your payment method:
  • Credit/Debit Cards: Refunds will be credited back to the original payment method within 15 business days.
  • Bank Transfers: Refunds will be processed within 15 business days.
  • Online Payment Gateways: Refunds through online portals may take 15 business days, depending on the payment provider.
7. Amendment to Bookings
  • If you wish to amend (make changes to) your travel plans, please contact our customer service team. Amendments include changes to the travel date, destination, or number of travelers.
  • 14 days or more prior to the travel date: We will do our best to accommodate your request. If the requested changes result in a price increase, the customer is responsible for paying the difference.
  • Less than 14 days prior to the travel date: Any amendments are subject to availability and may incur additional charges or may not be possible.
  • If amendments are made that reduce the overall cost of your trip, the refund for the difference will be issued based on our cancellation policy.
8. Third-Party Services and Suppliers
Ambika Holidays works with a variety of third-party service providers (e.g., airlines, hotels, transport companies) to ensure a comprehensive travel experience. Refunds for third-party services are subject to the terms and conditions of the respective providers. Where third-party providers have a non-refundable clause, no refunds will be available from Ambika Holidays.
