1. General Policy on Cancellations by Customers
We recommend notifying us of any cancellations as early as possible to ensure the highest refund amount. The refund percentage will depend on how early you notify us before the travel date:
In the event of cancellation of tour / travel services due to any
avoidable / unavoidable reason/s we must be notified of the same in
writing. Cancellation charges will be effective from the date we receive
advice in writing, and cancellation charges would be as Follows
- Cancellations before 30 days prior to departure: 25% cancellation charges will be applicable
- Cancellations before 15 days prior to departure: 50% cancellation charges will be applicable
- Cancellations before 10 days prior to departure: 100% cancellation charges will be applicable
- No refund in case of no show
- Note: Written cancellation will accept on all working days, except Sunday and National holidays, any cancellation sent on Sunday’s or national holidays will be considered on next working day.
- For the X-mas and New Year period, Diwali, Dusserhra, Long weekend the payment is non-refundable.

Please include your booking reference number, travel date, and reason for cancellation in your communication. We will confirm your cancellation request within 1-2 business days.
Certain services and bookings will be marked as non-refundable at the time of booking. This includes, but is not limited to:
- Airline tickets (subject to individual airline refund policies).
- Visa processing fees (as visa-related services are non-refundable once submitted).
- Hotel reservations with no-refund terms.
- Customized travel packages with special terms or high-season bookings.
- Train Tickets((subject to individual train refund policies)
These will be clearly communicated to you during the booking process. For such services, no refund will be available even if the booking is canceled 30 days or more in advance.
In case you choose to end your trip early or not use certain services that were part of your package (e.g., transportation, hotel nights, or excursions), no refund will be provided for the unused portion of the trip, as our partners may not offer us refunds for services not used.
If you fail to show up for your scheduled trip or service on the travel date without prior notice, this will be considered a no-show, and no refund will be issued. If you anticipate a delay or problem in attending the trip, please contact us immediately to discuss alternatives (rescheduling may be possible, depending on availability and third-party conditions).
In rare instances where Ambika Holidays has to cancel a tour or service due to reasons beyond our control, including but not limited to:
- Extreme weather conditions.
- Political instability.
- Safety concerns.
- Insufficient participation for group tours.
- Operational issues or technical difficulties with transportation.
- Full refund of the total booking amount.
- The option to reschedule or select an alternative tour of equal value. If you choose a tour of greater value, you will need to pay the difference in price.
Ambika Holidays will not be responsible for any additional costs incurred by customers due to cancellations, such as non-refundable flights or other bookings not made through Ambika Holidays.
Once a refund is approved, we will process it as quickly as possible. Please note the following refund timelines based on your payment method:
- Credit/Debit Cards: Refunds will be credited back to the original payment method within 15 business days.
- Bank Transfers: Refunds will be processed within 15 business days.
- Online Payment Gateways: Refunds through online portals may take 15 business days, depending on the payment provider.
- If you wish to amend (make changes to) your travel plans, please contact our customer service team. Amendments include changes to the travel date, destination, or number of travelers.
- 14 days or more prior to the travel date: We will do our best to accommodate your request. If the requested changes result in a price increase, the customer is responsible for paying the difference.
- Less than 14 days prior to the travel date: Any amendments are subject to availability and may incur additional charges or may not be possible.
- If amendments are made that reduce the overall cost of your trip, the refund for the difference will be issued based on our cancellation policy.
Ambika Holidays works with a variety of third-party service providers (e.g., airlines, hotels, transport companies) to ensure a comprehensive travel experience. Refunds for third-party services are subject to the terms and conditions of the respective providers. Where third-party providers have a non-refundable clause, no refunds will be available from Ambika Holidays.
Ambika Holidays understands that emergencies can occur. In certain cases, where proof of emergency is provided (such as medical certificates, death certificates, or natural disaster advisories), we may review your refund request outside the standard policy. This will be done on a case-by-case basis and is subject to approval by our management team.
We strongly encourage our customers to purchase travel insurance to cover any unforeseen circumstances such as illness, travel delays, or cancellations. Ambika Holidays is not responsible for any losses that may occur due to inadequate travel insurance coverage.
